Invoixca provides several ways to share invoices with clients and collaborate with team members on billing operations.
Email Delivery
Pro and Business plan users can send invoices directly to clients by email from inside the invoice builder. Click "Send via Email" after generating your invoice. The system sends a professionally formatted email with the PDF invoice attached. The email subject includes your business name and invoice number.
Email delivery tracking confirms successful sending. If the email bounces or fails, you will be notified in your dashboard.
PDF Download and Manual Sharing
All users can download invoice PDFs and share them manually through their preferred channel — email attachments, messaging apps, cloud storage links, or printed copies. The PDF is self-contained and does not require any Invoixca account to view.
Team Collaboration (Business Plan)
Business plan users can invite team members to their workspace. Each team member gets their own login credentials and can be assigned one of three roles:
Admin: Full access to all invoices, settings, and team management. Can add or remove team members and modify billing settings.
Editor: Can create, edit, and send invoices. Cannot modify team settings or billing information.
Viewer: Read-only access to invoices and dashboard analytics. Useful for accountants or stakeholders who need visibility without editing capability.
Invoice Status Tracking
Track the lifecycle of every invoice from your dashboard: Draft (created but not sent), Sent (delivered to client), Viewed (client opened the email — available with email delivery), Paid (payment received), Overdue (past due date without payment), and Cancelled (voided invoice).
